The Phone Message Center allows you to take phone messages
and forward them to the appropriate user. Right Hand Man will let
you add callers to a company-wide database making it easier to
take messages from frequent callers.
File: File commands. Submenu includes options to
create/manage phone messages:
New: Creates a phone message. Same as Take. See Taking
a Phone Message. Same as the <INSERT> key.
Open: Lets you read/edit the highlighted phone message.
You can edit the caller's Name (Last, then First),
Company, Phone number, and Status. You can also
edit the "message" text. Same as Read or by
pressing the <RETURN> key.
Delete: Deletes the highlighted phone message and archives
it to two separate database files, ARCHIVE and
PHONE. The ARCHIVE will retain all of the
information except for the message memo. The
PHONE database is a personal database used for
reviewing old phone messages. Same as pressing
the <DEL> key.
Export: Exports the highlighted phone message into a
transport buffer where it can be retrieved by
pressing <CTRL-E>.
Print: Prints the highlighted message. You have three
options:
All: Lets you print all the phone messages in the
current list.
Range: Allows you to print phone messages that were
received within a certain range of days. RHM
will prompt you for the first and last day of
the print range.
Single: Lets you print the highlighted phone message.
Exit: Exits the Phone Message Center, bringing you back
to the main program opening screen.
Take: Use this command to take a phone message. Same as File,
New or pressing the <INS> key. See Taking a Phone
Message.
Read: Displays the highlighted phone message. Open will
allow you to edit a phone message; Read, however, will
only allow you to view a message. Same as pressing the
<ENTER> key on the highlighted message.
Frequent: Deletes the highlighted phone message and adds it to
the GLOBAL database (also called the frequent caller
database). The frequent caller database is used to
automatically take messages from callers who have been
frequented.
Forward: Forwards the highlighted phone message to another user.
Options:
Call: Dials the phone number of the highlighted message.
Simply pick up the receiver after you hear the
number dialed on your modem speaker. Hit any key
to make the modem hang up.
Order: This command allows you sort your phone messages
by Company, Last Name, Phone Number or the Time
the message was taken. Reverse will reverse
the current message order.
